TERMS AND CONDITIONS

These Terms and Conditions govern the hire and use of The Old Pavilion ("the Venue"). By making a booking, the Hirer agrees to be bound by these Terms and Conditions.
1. Definitions
The Venue refers to The Old Pavilion.
The Hirer refers to the individual, organisation, company, or representative making the booking. Event refers to any function, gathering, celebration, meeting, or activity taking place at the Venue.
2. Booking Confirmation
A booking is not confirmed until:
A completed booking form has been received;
Any required deposit has been paid; and
Written confirmation has been issued by The Old Pavilion.
The Venue reserves the right to refuse bookings at its discretion.
3. Deposits and Payments
A non-refundable deposit of [Insert Amount or Percentage] is required to secure a booking.
The remaining balance must be paid no later than [Insert Number] days before the Event date.
Failure to make payment by the due date may result in cancellation of the booking without refund.
4. Cancellation by the Hirer
All cancellation requests must be submitted in writing.

Where payments have already been made exceeding the applicable cancellation charge, the balance may be refunded at the Venue's discretion.
Date changes may be treated as cancellations and new bookings.
5. Cancellation by The Old Pavilion
The Venue reserves the right to cancel a booking if:
The Venue becomes unavailable due to circumstances beyond our control;
The Hirer breaches these Terms and Conditions;
False or misleading information was provided during booking;
The Event presents a risk to safety, property, staff, or reputation.
In such circumstances, liability shall be limited to the return of monies paid to the Venue.
6. Use of the Venue
The Hirer agrees:
To use the Venue only for the purpose stated in the booking;
To comply with all laws and regulations;
Not to exceed any agreed capacity limits;
To follow all instructions provided by Venue staff.
The Venue may immediately terminate an Event if behaviour is unsafe, unlawful, abusive, or likely to cause damage.
7. Responsibility for Guests
The Hirer is responsible for the conduct of all guests, suppliers, contractors, entertainers, and attendees associated with the Event.
Any damage, loss, excessive cleaning, or repair costs arising from the Event may be charged to the Hirer.
8. Damage and Breakages
The Hirer shall be liable for:
Damage to the building;
Damage to fixtures, fittings, furniture, equipment, or grounds;
Missing items;
Excessive cleaning costs.
The Venue reserves the right to invoice for any such costs following inspection.
9. Decorations and Alterations
No nails, screws, staples, adhesives, or fixings may be attached to walls, ceilings, floors, furniture, or fixtures without prior written consent.
Any decorations must be removed at the end of the hire period.
The Venue reserves the right to remove unauthorised decorations.
10. Health and Safety
The Hirer must comply with all health and safety requirements.
Emergency exits, fire equipment, and access routes must remain unobstructed at all times.
The Hirer must immediately report accidents, injuries, hazards, or incidents to Venue staff.
11. Alcohol and Licensing
Where applicable, alcohol may only be served in accordance with licensing laws and any Venue requirements.
The Venue reserves the right to refuse service or require the removal of individuals who are intoxicated or behaving inappropriately.
12. Noise and Nuisance
The Hirer shall ensure that noise levels remain reasonable and considerate to neighbouring properties.
The Venue reserves the right to reduce sound levels or terminate entertainment if complaints are received.
13. Suppliers and Contractors
External suppliers may only access the Venue with prior approval.
The Hirer remains responsible for the actions of all suppliers and contractors engaged for the Event.
14. Property and Personal Belongings
The Venue accepts no responsibility for:
Lost property;
Theft;
Damage to personal belongings;
Equipment brought onto the premises.
All items are left at the owner's risk.
15. Insurance
The Hirer is responsible for obtaining any insurance considered necessary for the Event.
The Venue's insurance does not automatically cover the Hirer's property, guests, suppliers, or activities.
16. Limitation of Liability
To the fullest extent permitted by law, The Old Pavilion shall not be liable for:
Indirect or consequential losses;
Loss of profits, revenue, opportunity, or business;
Loss arising from circumstances beyond our reasonable control.
Nothing in these Terms excludes liability for death or personal injury caused by negligence where such liability cannot legally be excluded.
17. Force Majeure
The Venue shall not be liable for failure to perform its obligations where caused by events beyond its reasonable control, including but not limited to:
Severe weather;
Flooding;
Fire;
Utility failures;
Government restrictions;
Industrial disputes;
Public health emergencies.
18. Photography and Marketing
Photographs taken during Events remain the property of the photographer.
The Venue will not use photographs of private Events for marketing purposes without permission.
19. Data Protection
Personal information supplied during the booking process will be processed in accordance with our Privacy Policy.
20. Governing Law
These Terms and Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.
Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
